SustainCO Pty Ltd (“SustainCO”, “we”, “us” or “our”) respects your privacy. This policy explains how we collect, use, store and disclose personal information through the SustainCO website, member accounts and WaterOps service.
We aim to handle personal information consistently with the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply.
1: Information we collect
We may collect:
Account and contact information
• first and last name;
• email address;
• company name;
• job title or role;
• telephone number if provided;
• account and membership identifiers; and
• communication and marketing preferences.
WaterOps information
• project names and customer names entered by you;
• calculator types, inputs, assumptions and saved results;
• project creation and update information;
• account identifiers used to keep members’ projects separate;
• actions such as creating, listing, reading, updating or deleting projects; and
• dates, outcomes and security audit records associated with those actions.
Technical and website information
• IP address;
• browser, device and operating-system information;
• login and session information;
• pages viewed and features used;
• referring websites;
• approximate location derived from technical information;
• cookies and similar technologies; and
• system error, performance and security logs.
Communications
We may retain enquiries, support requests, feedback, survey responses and other communications you send to us.
2: Information you enter into WaterOps
You control the project and calculator information you enter.
Do not enter personal, sensitive, confidential or third-party information unless:
• it is reasonably required for the assessment;
• you are authorised to provide it; and
• its use is lawful.
WaterOps is intended for industrial and technical information. It is not intended for health information, government identifiers, financial account details or other sensitive personal information.
3: How we collect information
We collect information:
• directly from you when you create an account, complete a form, use WaterOps or contact us;
• automatically when you use our website or WaterOps;
• through Wix member authentication, hosting, analytics and security services;
• from cookies and related technologies; and
• from service providers where required to operate, secure or support the service.
4: Why we collect and use information
We use information to:
• register and authenticate members;
• provide access to WaterOps;
• save and retrieve your projects;
• keep one member’s projects separate from another member’s projects;
• maintain access and security audit records;
• provide technical support;
• investigate errors, misuse or unauthorised access;
• maintain, secure and improve WaterOps;
• understand how the website and calculators are used;
• communicate service notices and important account information;
• respond to enquiries;
• meet legal and regulatory obligations; and
• send marketing communications where you have chosen to receive them.
If required account information is not provided, we may be unable to create your account or provide access to WaterOps.
5: Marketing communications
Marketing subscription is optional and is separate from accepting the WaterOps Beta Terms and this Privacy Policy.
If you opt in, we may send WaterOps product updates, technical information and relevant SustainCO offers.
You may unsubscribe at any time using the link in an email or by contacting us. Unsubscribing from marketing will not close your member account or prevent essential service and security communications.
6: How we disclose information
We may disclose information to:
• Wix.com and its related companies, which provide website, member authentication, database, hosting, communication and security services;
• cloud hosting, software, email, analytics, security and technical-support providers used to operate WaterOps;
• professional advisers, insurers, auditors and contractors who require access for legitimate business purposes;
• law-enforcement, regulatory or government bodies where required or authorised by law;
• parties involved in investigating fraud, security incidents or misuse; and
• a purchaser or successor if SustainCO undergoes a sale, merger or business restructure, subject to appropriate confidentiality and privacy protections.
We do not sell or rent personal information.
We require service providers to use information only for the services they provide and to apply appropriate confidentiality and security protections.
7: Overseas storage and processing
Our website and member services are provided through Wix and other cloud-service providers.
Information may be stored or processed outside Australia. Wix advises that site visitor and member information may be stored in data centres located in the United States, Ireland, South Korea, Taiwan and Israel, and potentially other jurisdictions required to provide its services.
Privacy and data-protection laws in those countries may differ from Australian law. We take reasonable steps appropriate to the circumstances when selecting and using service providers that process personal information.
8: Cookies and analytics
Our website may use essential cookies for security, member login, session management and core website functions.
Analytics and other optional technologies may also be used to understand website use and improve performance.
Where a cookie consent tool is provided, you can use it to manage non-essential cookies. Blocking some cookies may affect login or other site functions.
9: Data security
We use reasonable technical and organisational safeguards designed to protect information against loss, unauthorised access, misuse, interference, alteration or disclosure.
These safeguards include authenticated member access, backend access controls, project ownership checks and audit logging.
No internet transmission or storage system is completely secure. You should protect your password and notify us promptly if you suspect unauthorised account access.
10: Data retention
We retain information only for as long as reasonably required to:
• provide your account and WaterOps services;
• maintain necessary business and security records;
• resolve disputes;
• enforce agreements;
• comply with legal obligations; and
• maintain legitimate backup and audit records.
When information is no longer reasonably required, we will take reasonable steps to delete or de-identify it, subject to legal, security and backup requirements.
11: Access and correction
You may request access to personal information we hold about you or ask us to correct inaccurate or outdated information.
We may need to verify your identity before processing a request. In some circumstances, the law may permit or require us to refuse access. If that occurs, we will explain the reason where legally permitted.
You may also update certain account details through your member profile.
12: Account closure and deletion requests
You may request closure of your WaterOps member account or deletion of personal information by contacting us.
Some information may need to be retained where required for security, fraud prevention, legal compliance, dispute resolution or backup integrity. Where deletion is not immediately possible, access may be restricted until deletion or de-identification can occur.
13: Privacy complaints
If you believe we have mishandled your personal information, contact our Privacy Officer with:
• your name and contact details;
• a description of the issue;
• relevant dates or account information; and
• the outcome you are seeking.
We will acknowledge and investigate the complaint and aim to respond within a reasonable period.
If you are not satisfied with our response, you may be entitled to contact the Office of the Australian Information Commissioner at www.oaic.gov.au.
14: Children
WaterOps is intended for business and professional users and is not directed to children under 18. We do not knowingly seek to collect personal information from children through WaterOps.

Our website may contain links to external websites. SustainCO is not responsible for the privacy practices or content of external services. Review their privacy policies before providing information.
16: Changes to this policy
We may update this policy when WaterOps, our website, service providers or legal obligations change.
The updated policy will display a revised effective date. If a material change significantly affects existing members, we will take reasonable steps to provide notice.
